Deschapelles Meeting
March 18, 2019
Present:
Carol Macksey, Debbie Cummings, Judy Ruehl, Jeanne Weyers, and Sandy Orr
Meeting called to order at 2:45 and the
minutes of the previous meeting were approved with correction.
Membership
Report: Those who have
not paid their dues and choose not to pay them must pay an additional $5 to
play every time they play. Debbie
Cummings and Pat Newman are to be responsible for collecting the extra
monies. This will be implemented
beginning May 1st.
Treasurer’s
Report: Statement
presented with itemized categories year -to-date. The Club is down $2200.00 from last year at
this time; however, since flowers are no longer being sent, some monies will be
saved. Attendance is up 10 tables from
last year.
The $600 paid to the IRS was a fine and
payable only one time. Judy and Debbie
need to meet with Rick O’Conner to complete yearly report to the IRS.
Treasurer’s report was accepted.
Hospitality
Report: On 4th
Monday, membership will be encouraged to bring food to share. Using word of mouth, encourage members to
bring food any Monday, but especially the 4tth Monday.
The President, Vice President or Board
Member should thank people who bring food and for attendance at the game.
IRS
Report: A letter has
been received from both the federal and state accepting our club with
non-profit status. This means that
Deschapelles is a not-for-profit organization and not a charity. Dues are not tax-deductible. We are in good shape. 1099s are due for people paid by Deschapelles
as a form of proof of payment.
Secretary
Position: Phyllis Bishop
is allowed to hold two positions: Vice
President and Secretary. In future,
Board may consider putting these two positions together.
Responsibilities for Each Office and
Committee: The following
are the basic responsibilities of each officer and committee chair. Most of these are also in the Constitution
and By-Laws, which are on the website under the Deschapelles page.
President: Presides at meetings
Delegates
responsibilities
Vice President: Does duties of President when she is not
available.
Works
with heads of committees
Works
closely with President during the last year of her term.
Secretary: Takes minutes during all Board
meetings .
Publishes
minutes to Board members through emails.
In
charge of communications.
Treasurer: Collects and banks all monies.
Pays
bills.
Provides Board with Year-to-Date financial
information at Board meetings.
Completes tax forms.
Board
Members: Serve
on committees, when needed.
Hospitality: In charge of food and parties.
Membership: Keeps up-to-date list of members.
Collects
dues
Contacts
members who have not paid dues in order to collect.
Director: Gets boards ready for game.
Sets
up game
Directs
game.
Keeps
table count
Caddy: Presents food.
Cleans
up tables and boards after game.
Caddies
game, if needed.
New
Business;
Food
for weekly games. Sandy Orr is allotted
$25 per week for chips, etc. Members are
encouraged to bring food to share as well.
There
had been a suggestion that a non-life master section might help with attendance
at the games; however, since there has been no drop in attendance, the Board
decided that there is no need for a non-life master section at this time.
Birthday
Party: Cakes are provided and Sandy Orr takes
care of this.
